Description and Requirements
The TA Onboarding Specialist supports the recruiting function by performing activities for Recruiters and the Talent Acquisition team. Additionally, this role will interface with hiring managers regarding onboarding activities and issue resolution related to new hire set-up.
Primary Responsibilities:
- Tracking candidate information and maintaining up-to-date candidate status information.
- Maintaining internal and external job postings
- Sending candidate correspondence and follow-up, including offer documents, new hire information, and on-boarding information
- Coordination and facilitation of New Employee Orientation activities (supplies, roster, etc)
- Interview scheduling, coordination of interview days, candidate travel set-up, bookings, and expense reimbursements, as necessary
- Ensuring Background Checks and any other pre-employment checks as required are documented, and escalating potential issues to client
- Ensuring confidentiality with all sensitive matters
- Organizing and maintaining candidate recruiting files including EEOC tracking as instructed
- Performing administrative activities to maintain compliance (applicant files, etc)
- Provide standard or ad hoc management reporting as requested
- Coordinating and providing support for job fairs
- Perform budget administrative functions and other related support activities.
- Assist with recruiting as needed.
- Work with NATA operations to manage and improve processes for organization
Job Requirements
Minimum Requirements
- HR or project administration is required
- Experience with MS Office suite – Excel and Powerpoint, specifically
Preferred Requirements
- Prior experience as an onboarding specialist
- Advanced Excel skills
- Able to quickly learn new ATS and software platforms
- Demonstrated proficiency in critical thinking and solving business problems
- High level of sense of urgency
- Ability to switch from one project to another quickly and effectively; ability to quickly prioritize and reorganize events, projects, and resources
- Process-oriented, ability to create and follow procedures while accommodating unique needs
- Demonstrates attention to detail and ability to audit and proofread documents
- Writes and speaks effectively and clearly articulates process in terms of talent instructions
- Familiar with HR operations and legislation
