Scope: This role is for an external customer-facing and internal sales and ITC team Project Coordinator. The Project Coordinator will work closely with the ITC engineers, to set right expectations with the customers. Maintain communications between all stake holders and interested parties, including email and telecommunication updates, as needed. The ITC Project Coordinator role will assist the ITC Engineers with projects that require specialized focus to ensure a successful client experience.


◇Position Description◇
The ITC Project Coordinator role supports configuration services with detailed work instructions, resource requirements, and scoped timelines for client projects. They provide project support to resources across multiple teams (Sales, services sales executives, solution architects, ISSR) to achieve project objectives on time, within scope, and budget. They may also coordinate with multiple project managers (Pre-sales and Delivery). They can be dedicated to a joint project or a small number of significant/highly complex customer projects/deliverables simultaneously. 
Supports project activities, including collaborating and coordinating across the organization and ensuring: 
  • Changes that affect scope, schedule, and resources are identified, managed, communicated, and controlled. 
  • Scope is followed, approved, managed, and controlled, ensuring completed deliverables are agreed upon and signed off by the client. 
  • The schedule is developed and managed by the team leads, who ensure on-time delivery.
  • Resources are assigned and managed effectively and efficiently. 
  • Risks and issues are proactively identified, communicated, and managed/mitigated.
  • Owns the execution of regular cadence meetings to ensure stakeholder engagement and that expectations are aligned, accurately set, and managed across the team and with the client.
  • Subject Matter Expert on project management standards and overall value-add to internal and external stakeholders. 
  • High-level engagement supporting Services Sales, requirements gathering, scoping, alignment, and knowledge transfer.
  • Plan, schedule, communicate, and manage project timelines.
  • Monitor and report progress to the management team, key stakeholders, and delivery.
  • Deliver detailed project handover to ITC engineers to execute the project scope.

ITC consults with the clients to define their unique imaging needs and creates a custom image. Our client can relax knowing that experienced engineers will build an image that works flawlessly in their environment. The custom image is thoroughly tested by Lenovo engineers to ensure compatibility and correct operation with the system.


■Project management:
Project Coordinator will:
  • Assist ITC engineer, Sales team, and client with communications
  • Oversee project health until Gold Letter is released
  • Document all activity and create(time-line)
  • Meet weekly with Team Leads and Manager to review current projects and workload
  • Meet with ITC Team Leads/Managers as needed
  • Create a time-line from project
  • Speak with customer after successful project completion  to get feedback on experience.
  • Handle all CSAT issues
  • Create reports and charts.

 ◇Requirements◇
■Project qualifiers:
To be considered for specialized assistance from the project coordinators, the following criteria will be reviewed:
  • Projects are configured with multiple services / deliverables
  • Orders pending/forecasted for the current or next fiscal quarter
  • Sensitive or urgent client situation
  • New or Existing client, visibility
  • Supply constraints
  • Aged/Parked due to no client response
  • Communication: Fluent in English and Japanese: required to translate between Japanese and English.
