Description and Requirements



The candidate we are looking for, will support more than one Executives in different Countries and you will have the following duties:

  • Maintain diaries, schedule internal/external meetings, workshops
  • Arrange travels/accommodation
  • Obtain travel approvals
  • Book and manage timely and cost-efficiently flights, Hotels, Visas
  • prepare reports, timesheets
  • Time and attendance, vacation report, Per diem
  • Ensure all expenses are submitted, approved and all receipts received before monthly cut off dates.
  • Assist them with approving their direct reports' expenses in line with current expense guidelines
  • Manage contacts with internal and external clients:
  • Arrange customer/internal and face to face meetings/calls
  • Coordinate room bookings when necessary for all calls/meetings
  • Manage incoming calls and coordinate agendas
  • Arrange meetings, travels, inspections, special events, workshops
  • Follow-up on clients to plan and confirm meetings

You will be reporting to an Executive Director.

What you'll bring:

  • 1+ years experience in similar positions like Executive Assistant and Office Support roles, preferably in multinational companies
  • Have an excellent written and verbal communication skills in English + additional language is a plus
  • Be able to deal with people at all levels across a multicultural environment, be flexible, hard-working, result driven, confidential and sensitive
  • Have excellent knowledge of Microsoft Office

Base gross monthly salary from minimum 1400 EUR and above, depending on experience + variable part 12% of your annual earnings
