Description and Requirements
We are seeking a motivated and detail-oriented individual to join our team as an Administrative Assistant and Control Tower Person. This dual role involves providing administrative support to the office while also managing the flow of operations in our Inbound Control Tower, ensuring smooth communication and coordination within the team. The ideal candidate will be proactive, well-organized, and capable of multitasking effectively in a fast-paced environment.
Support the Ullo Site Team with monitoring and providing full visibility for all inbound LOI Material shipments over all MOT's with nominated 3PL Carrier plus arranging receiving and arranging expedite solutions for both LOI and SOI materials at the request of Supply Chain Team. Supporting communication between 3PL and GSM's on receiving issues and escalations
Administrative Assistant Duties:
- Manage office supplies and ensure they are stocked and ordered in a timely manner.
- Organize and maintain office files and records.
- Assist with scheduling meetings, appointments, and travel arrangements.
- Perform basic data entry and maintain spreadsheets and databases.
- Prepare and proofread documents, reports, and correspondence.
- Greet and assist visitors, ensuring a professional and welcoming environment.
- Support other administrative duties as required by managers
Control Tower Person Duties:
- Support Inbound team members monitoring and tracking of the inbound materials over all MOT’s
- Cover inbound team to track and monitor the movement of goods, shipments, or other critical activities in real time.
- Ensure smooth communication between internal departments, external partners, and stakeholders.
- Generate and maintain reports on operational performance, making sure they are up-to-date and accurate.
- Provide logistical support to resolve issues and bottlenecks that may arise.
- Support continuous improvement by identifying potential issues and recommending solutions.
Job Requirement:
- Proficient English knowledge both in written and verbal communication
- High attention to details
- Ability to prioritize based on importance/ urgency
- Some SAP functional experience is preferred, not mandatory
- Knowledge with Microsoft Office
